Why law firms look for a Clio alternative

Clio is a well-known system, and plenty of firms are happy with it. But if your firm is on Clio's Core plan, some of these problems may sound familiar.

You keep hitting the limits of the Core plan

Clio's UK Core plan starts from £79 per user per month, but it includes only 10 e-signatures, and custom matter stages, automated workflows and task progress reporting sit in the Signature tier and above. Many firms find they need one of those features within months of starting.

With Legal Workspace, unlimited e-signatures, workflows, case stages and task reporting are all part of the one plan at £50 per user per month.

Upgrading means paying more for everyone

Clio's Signature and Elite tiers are priced on request. If one feature you need is in a higher tier, the whole firm usually moves up, and it can be hard to know what that will cost until you speak to sales.

With Legal Workspace, there are no tiers to move between. Every user gets every feature at the same published price.

The extras add up

On Clio's Core plan, template building is priced on request, document automation (Clio Draft) is a paid add-on, and client intake (Clio Grow) is an add-on below the Elite plan. For a small firm, each extra changes the numbers.

With Legal Workspace, document templates that fill in client and matter details are included, and there are no add-ons to buy.

Getting help takes longer than you'd like

Priority phone and email support is not part of Clio's Core plan. When something stops working in the middle of a busy day, waiting for an answer costs time.

With Legal Workspace, every customer gets phone and email support, whatever the size of the firm.

Your matters don't fit a general template

A general system can handle most matters, but immigration, crime, family and property work each have their own dates, details and stages. Recording them in generic fields makes reporting harder and leaves gaps.

With Legal Workspace, 22 practice areas and more than 380 matter types each have their own case fields, ready to use.

What it costs a five-person firm

Here is a simple example for a firm with five users, based on published starting prices:

  • Legal Workspace: 5 × £50 = £250 a month, or £3,000 a year, with every feature included.
  • Clio Core: from 5 × £79 = £395 a month, or £4,740 a year, before any add-ons or a move to a higher tier.

That is a difference of at least £1,740 a year. If you need workflows, document automation or more than 10 e-signatures with Clio, the gap is likely to be wider.

What you get with Legal Workspace

Everything below is part of the standard price. There is nothing to unlock later.

  • Case and matter management with fields designed for each practice area
  • Workflows and task assignment: assign tasks to colleagues, track each matter's stage and set reminders so nothing sits untouched
  • Document templates that fill in client and matter details for you
  • Microsoft 365 integration: edit Word, Excel and PowerPoint files online and save the updated version straight back to the matter, plus email and calendar integration
  • Time recording in 6-minute units, from a timer or straight from emails, calls and documents
  • Billing: draft bills you can adjust before they become invoices, WIP and aged debt reports
  • Legal accounts: invoicing, client ledgers and trust accounting
  • Unlimited e-signatures, with the signed PDF filed to the matter automatically
  • Client portal for sharing documents and updates securely
  • 50+ reports, free updates, and free online setup and training

Built around the way UK firms work

Legal Workspace covers 22 practice areas and more than 380 matter types. An immigration matter records the details an immigration solicitor needs, and you can track it from instruction and evidence gathering through to submission, decision and appeal. A criminal matter records police station attendance, bail, charges, hearings and sentencing. Family, civil litigation, personal injury, employment, commercial property and probate each have their own case fields too.

That means less time configuring the system and more time on client work. It also means your reports make sense, because the data is captured consistently across every matter.

When Clio might suit you better

We think Legal Workspace is the better choice for most small and medium-sized UK firms, but it isn't right for everyone. Clio may be a better fit if:

  • you depend on a wide range of third-party apps and want them all in one marketplace
  • you are a larger firm that wants a platform with a big international user community
  • you are already settled on Clio's higher tiers, and the cost works for you

If none of those applies, it's worth seeing what you could save.

Switching from Clio to Legal Workspace

Moving systems sounds like a big job, but most of the work is in planning. Here is how it usually goes:

  1. Book a free demo - We spend 60 minutes walking through Legal Workspace using the kind of matters you handle.
  2. Export your data from Clio - This includes your contacts, matters and documents.
  3. We set up your account - We configure your practice areas, users and templates at no cost. If you'd like us to import your Clio data, we'll give you a fixed quote for the migration first.
  4. Train your team - Free online training sessions over Microsoft Teams, at times that suit you.
  5. Go live - Check the notice terms in your Clio agreement so you are not paying for both systems longer than you need to.

Other Clio alternatives in the UK

If you are comparing several options, these are the other systems UK firms most often consider:

  • LEAP, popular with small UK firms for its large forms and precedents library
  • Actionstep, known for highly configurable workflows
  • Smokeball, known for automatic time capture
